Google Calendar Booking
Let your QCall assistant book appointments straight into your Google Calendar while it’s on a call. It checks your real availability, offers only your open times, and creates the booking — and your customer automatically gets a calendar invite by email. Great for test drives, consultations, demos, service visits, callbacks, and any appointment you want your AI assistant to schedule for you. What you’ll need- A QCall account with an assistant.
- A Google account with the calendar you want to book into.
Step 1 — Connect your Google Calendar
- In the QCall dashboard, open Integrations from the left menu.
- Find the Google Calendar card and click Connect.
- A Google window opens. Sign in with the Google account that has your calendar.
- Click Allow to give QCall permission to see your availability and add events.
- You’ll be brought back to QCall and the Google Calendar card will show Connected. ✅
Tip: connect the account whose calendar should hold the appointments (for example, your sales or service calendar).
Step 2 — Turn on booking for an assistant
- Open the assistant you want to handle bookings (or create a new one).
- Go to the Tools section and open Real‑Time Booking.
- Select the Google Calendar tab.

Fill in your booking rules:
Setting What it means Calendar Choose which of your calendars to book into. Slot duration How long each appointment is — 15, 30, 45 or 60 minutes. Working hours (start / end) The daily window you accept bookings, e.g. 9:00 AM to 4:00 PM. Days The days of the week you’re open, e.g. Monday to Thursday. -
Set when bookings can start:
- Book after (days) — the earliest a customer can book. For example, set it to 1 so customers can only book from tomorrow onward.
- Timezone — the timezone your times are in.
- Add a short note for when to offer booking (e.g. “when the caller wants to schedule a test drive”).
- Click Save, then save the assistant.
Step 3 — Try it
Start a test call (or use the Playground) and say something like “Can you book me an appointment?” Your assistant will:- Ask which day and time you’d like.
- Read back your actual free times for that day.
- Confirm your choice and create the appointment on your Google Calendar.
What your customer receives
When the assistant books an appointment, your customer is added to the event and Google emails them an invitation automatically — with the date, time, and an “Add to calendar” button. No extra setup needed.Testing note: if you book using the same Google account that owns the calendar, you won’t get an email — Google doesn’t send you an invite to your own event. Use a different email (like a real customer would) to see the invitation.
Good to know
Your assistant always follows the rules you set:- ✅ It only offers your open days and hours. If someone asks for a day you’re closed, it says you’re only open on your selected days.
- ✅ It only offers times that are actually free — anything already on your calendar is skipped.
- ✅ If a customer asks for a specific time, it books that time only if it’s available; otherwise it suggests the closest open times.
- ✅ It won’t book earlier than your “Book after” setting or outside your working hours.
Frequently asked questions
Do I need to set anything up in Google? No. Just click Connect and approve — QCall handles the rest. Which calendar gets the bookings? The one you pick in the Calendar dropdown when setting up booking. Choose “primary” for your main calendar. Can I limit bookings to certain days and hours? Yes — set your Days and Working hours in the Google Calendar booking tab. Everything else is treated as closed. Can customers book for today? Only if your Book after setting allows it. Set it to 0 to allow same‑day booking, or 1+ to require advance notice. My customer didn’t get an email. You probably tested with the calendar owner’s own email. Try booking with a different email address. I got a “not connected” message on a call. Your Google Calendar connection may have been removed or expired. Reconnect it under Integrations.
